The People Operations team ensures the smooth execution of People processes and supports key initiatives across the full employee lifecycle. We play a vital role in sustaining our unique culture as we continue to grow across countries and teams.
As a People Operations Specialist, you will be responsible for driving all operational processes throughout the employee lifecycle — with a focus on onboarding, organisational and employee changes, offboarding, and contract management.
You’ll serve as a first point of contact for employee queries, supporting managers and employees with day-to-day HR questions and processes, in close alignment with our HR Business Partners. This includes providing first-line HR advisory support and escalating more complex matters when needed. You’ll use a ticketing system to manage your workload effectively.
In addition, you’ll support recruitment activities by coordinating with external agencies, scheduling interviews, conducting initial screening calls, preparing recruitment reports, and ensuring a smooth candidate experience throughout the process.
As a key user of our HRIS (BambooHR), you will help maintain the accuracy and integrity of our people data through regular audits and data maintenance. You’ll be responsible for processing employee information and will actively contribute to improving our processes by leveraging automation and system capabilities to enhance both efficiency and the user experience.
You’ll collaborate closely with another People Operations Specialist and work alongside our HR Business Partners, Recruitment team, and Payroll Specialist. You will report to the Head of People Operations.
Your work will directly contribute to delivering a seamless employee experience and fostering a high-performing, people-first culture — giving you a strong sense of purpose through meaningful impact.
Key Responsibilities
As a People Operations Specialist, you’ll support the full employee lifecycle and help ensure a consistent and engaging experience for employees across the organisation.
Employee Lifecycle & Relations
· Support the full employee lifecycle — from onboarding to offboarding — including drafting employment-related documents and maintaining accurate records in BambooHR.
· Provide first-line HR advisory support, responding to day-to-day HR queries from managers and employees, with a focus on performance management, absence, and policy interpretation.
· Interpret and communicate HR policies and procedures, ensuring compliance with company standards, local labour laws, and industry best practices.
· Guide employees and managers through HR-related matters, ensuring alignment with our values and policies.
· Coordinate administrative tasks related to visa applications, international mobility, and relocations in collaboration with external partners.
· Help ensure legal compliance and support risk management by staying informed about relevant labour laws and employment-related risks.
Recruitment Support
· Support recruitment and talent acquisition by coordinating with agencies, scheduling interviews, handling candidate communication, and assisting with recruitment reporting.
· Conduct initial screening calls to align on expectations and compensation, and ensure a smooth and professional candidate experience throughout the process.
Payroll Support
· Partner with the Payroll Specialist to provide accurate and timely data for payroll processing across 17 countries — including information on new starters, leavers, and time/attendance records — in close collaboration with local Office Managers.
HRIS & Data Integrity
· Maintain accurate and up-to-date people data in BambooHR, conducting regular audits to ensure data quality.
· Identify opportunities to automate and streamline processes, using the HRIS to improve efficiency and user experience.
· Support data collection and reporting to enable the People team to work in a more data-driven way.
Projects & Continuous Improvement
· Contribute to a variety of People team projects and initiatives aimed at improving the employee experience, operational excellence, and the maturity of our HR processes.

What We’re Looking For
We’re looking for a proactive and detail-oriented People Operations professional with approximately three years of relevant experience, eager to help elevate our People Operations and employee support to the next level.
You’ll thrive in this role if you enjoy streamlining HR processes, collaborating across teams, and contributing to a seamless employee experience. You’re motivated by making things run more efficiently — whether through enhancing data accuracy, creating a memorable onboarding experience, or helping to build scalable HR support in a growing international organisation.
Your profile:
· A bachelor’s or master’s degree in Human Resources, Business Administration, or a related field.
· Around two to three years of hands-on HR experience, ideally in People Operations, HR administration, or HR advisory.
· Experience working in a fast-paced, international environment is highly desirable.
· Comfortable using HRIS systems (we use BambooHR) and digital tools such as Jira for ticketing.
· Strong interpersonal and communication skills — you enjoy supporting others, can manage a busy workload with confidence, stay calm under pressure, and take a proactive, organised approach to getting things done.

Purpose and Contribution to the Company Strategy
The HR Auditor is responsible for the delivery of the certification process for local clients participating in our annual programmes across the globe. Their job is to support the clients in submitting the survey and validate its answers and to ensure the certification process is objective and diligent.
He/she supports the quality checks and helps with quality assurance. He/she collects HR insights and shares them internally and externally. The HR Auditor also participates in many processes and delivery improvement projects in addition to other special projects.
Key result areas and main activities
- Support the onboarding of their clients and lead the delivery of the Certification process for local clients.
- Carry out Quality Checks to support the rapid delivery of certification and results to clients.
- Update client-related data regarding the Certification Process (e.g., Key Information as Deadlines and Status) and make it transparent and accessible for other stakeholders in the organization. Use common systems and tools such as Salesforce and SharePoint.
- Support the delivery of our international clients (validation of affiliates/local entities), align with other HR Auditors, and report potential issues to the leading colleagues.
- Carry out a range of quality assurance activities for international clients (under the guidance of senior colleagues.)
- Analyze data and results to carry out results sessions for local clients.
- Support the analysis of data for senior colleagues to carry out group result sessions for international Clients.
- Gather insights and best practices from colleagues and clients to develop content for local connect events or websites.
- Gather HR best practices from clients and share HR knowledge within the organization.
- Conduct various Workshops/ Webinars (e.g., Welcome Webinar, Certification/Benchmark Activation Session)
- Help translating the survey and other process-related material (e.g., Email templates, Webinar Slides).

Qualification Criteria
· Bachelor’s degree in HR (or equivalent)
· Minimum 3 years of experience in HR (generalist or specialist roles).
· Previous experience in a mid-sized local company (50-249 employees). Experience in an international (250-10 000 with international presence) or multinational company (more than 10 000 employees, regional HQs, Global HQ) is an advantage.
· Strong HR Knowledge
· Good client-facing and internal communication skills
· Fluent in French and English (written and spoken). Fluent in any other additional language would be advantageous.
· Strong working knowledge of Microsoft Office.

Programme Manager LATAM

Purpose and contribution to the company strategy
Programme manager LATAM’s primary duties include the planning of key dates along with the clients for the certification process, including the onboarding process, survey dates, offering support, and coordinating the involvement of accounts in the region.
This role centres on enhancing the client’s experience and plays a crucial part in improving our operational efficiency and scalability by reinforcing the capabilities of the Certification Cluster.
Key Responsibilities
1. Client & customer management (External)
- Help manage clients by carrying out support activities, such as portal and user set up. Act as a central reference point among clients, sales team and HR Auditors.
2. Programme planning
- Set up the planning for the certification process along with the clients, stablishing the survey dates and referential audit period.
- Ensure certification process is executed according to the planning and align any update with the HR Auditor, when necessary.
3. Customer onboarding
- Walk customers through the basics of the product/service.
- Run the welcome calls for new joiners and new primary contacts.
4. Resolving customer issues
- Respond to basic and advanced customer issues such as portal support, operational and technical reports; escalate appropriately.
5. Customer relationship management (CRM) data
- Ensure all key and relevant data is registered and updated in Sales Force.
6. Operational compliance
- Develop working knowledge of the organization’s policies and procedures and of regulatory codes and codes of conduct relevant to own work, adhering to mandatory procedures to ensure own work is undertaken to the required standards.
7. Client & customer management (Internal)
- Help manage internal clients by carrying out standard activities and providing support to others.
8. Personal capability building
- Develop and maintain excellent process or technical skills by participating in assessment and development planning activities as well as formal and informal training and coaching.
9. Project close-out and handover
- Draft elements of product documentation and user training to support handover to business as usual. Contribute to post-project reviews and identification of lessons learned.
10. Product/service information
- Provide basic information about the Certification Programme and respond to basic customer questions about the service and its requirements.

Qualification criteria
Education: Bachelor’s degree
Excellent oral and written command Spanish (native/bilingual) and Portuguese (native/bilingual). Fluent in English for internal training and communication.
Sound experience and understanding of straightforward procedures or systems (7 to 12 months).
Experience in a customer focussed role.
You are based in Sao Paulo area and willing to occasionally travel, mostly within America and to Europe.
