Office Manager Valencia - Spain (Hired)

The office is operationally smooth and equipped with supplies

  • Serves as the first point of contact in the office and manages several communication channels/ correspondences, and carefully selects what to prioritise
  • Contributes to the planning and organisation of the office’s calendar (business and social events, meetings)
  • Responsible for agenda management, the first point of contact, arranges and manages travel matters (bookings, visa, etc.)
  • Manages the stock of office supplies and ensures all (office-related) contracts are accurate and up to date
  • Ensures the entire office is ergonomically compliant and maintained
  • Is responsible for all aspects that ensure that operations run smoothly: facility management, procurement of hardware, telecommunications, connectivity, and insurance
  • Responsible for the facility management of the offices including 3rd party services (security, cleaning, parking), managing the stock of office supplies

Provides Sales Administration support

  • Completion of information requests from clients; vendor management (platforms) and procurement.
  • Involvement in client research activities (e.g., targets for local client events)

Supports the organisation in any relevant project and/or activity to ensure success of our operations

  • IT - Inventory
  • HR – registration in Health Insurance, platforms (MYTAXY, TRAVELPERK, ..)

Qualification Criteria

  • Fluent in English, Italian, and Spanish
  • Good communication skills for 
  • Excellent planning and organising skills
  • Adept at using computers
  • Effective time management skills
  • Able to work independently or under limited guidance to select, deploy and get the best results from the most appropriate office systems
  • Available to work for a minimum of 25 hours
