For our HR team we are looking for a hands-on HR Officer & Payroll Specialist with experience in HR Administration and International Payroll. 

About the role

The People Operations team ensures that all People processes run smoothly, and provide support on various People Operations projects within the full employee life cycle. We play a key role in maintaining our company culture, even as we grow in size and expand internationally. 

We are looking for a self-starter HR Officer & Payroll Specialist (32–40 hours) to join our close-knit People & Business Operations team.  

In this role, you will support both HR Operations and Global Payroll, covering the full employee lifecycle from onboarding to offboarding. 

You will also play an active role in the new HRIS implementation, HiBob, contributing to data migration, testing, and process optimization. The role has an international scope, supporting payroll activities across ±17 countries. 

In this role, you will be a key user of our HRIS system (BambooHR) and ensure the integrity of our people data by data clean-up activities and accurately entering, maintaining and processing all employee related information. The HR Officer and Payroll Specialist will support continuously to improve processes, procedures while leveraging our tools and systems for further automatisation and better user experience. 

This role will work very closely with our employees, HR Business Partners, Recruitment team as well as our Payroll Specialist and reports to the Head of People Operations. 

Your responsibilities

Supports full employee life cycle: 

  • Handle all administrative touchpoints throughout the employee journey. This includes creating all employment related documents and keeping all employee files and our HR system (BambooHR) up to date (from onboarding to exit); 
  • Support in on- and offboarding processes; 
  • Provide general administrative support to People Operations team as needed in processes such as absence management, onboarding, and performance reviews;  
  • Handling of admin for  visa processes, international mobility and relocations. This is supported by a third-party provider. 
  • Maintain accurate HR data & ensure GDPR compliance 

Payroll: 

  • Assisting with Global Payroll (currently 17 countries) by providing the Payroll Specialist accurate and in-time data for to process, i.e. (new hire / termination) mutations, learning budgets, time and attendance, etc. (in collaboration with the Office Managers at the local offices) 
  • Ensure timely, accurate processing of payroll (changes) for +17 countries and related transactions in accordance with monthly deadlines and knowledge of local labor laws and requirements. 
  • Communicate professionally and regularly with international payroll provider Papaya/local parties involved in payroll. 
  • Close coordination with Finance to give input on (monthly) salary-related accruals and (annual) bonus calculations. 
  • Assist with process improvement initiatives and HR policy communication. 
  • Provide payroll troubleshooting and timely responses to employee tickets, supporting colleagues and supervisors while coordinating with Papaya and external payroll providers. 
  • Regularly review payroll processes and procedures to ensure efficiency and reliability. 

Others: 

  • Take an active role in our data health by maintaining accurate information and reviewing data for completeness and cleanliness.  
  • Progressively take (part) ownership of our HRIS (BambooHR / HiBob) and support in identify and drive process improvement efforts, leveraging our HRIS to automate and eliminate manual work where possible.  
  • Facilitating  data gathering, cleansing and analysis for various HR reporting to become more data driven as a People team; 
  • Assists the People Team with carrying out a range of HR Project activities  

 What we’re looking for

  • 2+ years of experience in HR Operations, HR Administration and Payroll
  • Available for 32–40 hours per week
  • Hands-on, proactive, and detail-oriented
  • Experience in an international HR environment
  • Bachelor / HBO level education
  • Experience with BambooHR (HiBob is a plus)
  • Fluent in English (Dutch is a plus)
  • Based in the Netherlands (Amsterdam preferred)

Purpose and contribution to company strategy 

The Freelancer HR Auditor is responsible for the delivery of the certification process for local clients participating in our annual programmes across the globe. Their job is to support the clients in validating their answers to our HR Best Practices Survey and to ensure the certification process is objective and diligent. He/she supports the quality checks and helps with quality assurance. He/she collects HR insights and share them internally and externally.

Key responsibilities 

  • Lead the delivery of the Certification process for local clients.
  • Carry out Quality Checks to support the rapid delivery of certification and results to clients.
  • Update client related data regarding the Certification Process (e.g., Key Information as Deadlines and Status) and make it transparent and accessible for other stakeholders in the organization. Use common systems and tools such as Salesforce and SharePoint.
  • Support the delivery of some international clients (validation of affiliates/local entities), align with other HR Auditors, and report potential issues to the leading colleagues.
  • Where requested, analyse data and results to carry out results sessions for local clients.
  • Gather insights and best practices from clients to develop content for local connect events or websites.

Qualification Criteria

  • Bachelor’s degree in HR (or equivalent)
  • Minimum 5 years of experience in HR (generalist or specialist roles).
  • Previous experience in a mid-sized local company (50-249 employees). Experience in a an international (250-10 000 with international presence) or multinational company (more than 10 000 employees, regional HQs, Global HQ) is an advantage.
  • Strong HR Knowledge
  • Good client-facing and internal communication skills
  • Fluent in English (written and spoken) AND at least in another language among the following: Spanish, Portuguese or French. Italian as an extra language would be advantageous.
  • Strong working knowledge of Microsoft Office.
  • Strong analytical and problem-solving skills.
  • Organized, autonomous, and fast learner.
